About this job

The Administrative Assistant will play a vital role in supporting the Sidewalk Vending Program and general office operations. This position is ideal for a candidate looking to gain experience in small business development within a nonprofit setting. The Administrative Assistant will provide high-level administrative support to the Program Director and Program Manager while also serving as a liaison between staff, clients, and community stakeholders. This position works mostly Monday-Friday, 9:00 am-5:30 pm with an occasional night and weekend day for events.

Roles & responsibilities

● Serve as a key point of contact between the Program Director, Program Manager, staff,and clients

● Manage incoming communications: answer calls, respond to inquiries, and route messages appropriately

● Maintain organizational records and filing systems; retrieve and organize documents and reference materials

● Support administration by filing required documents, tracking deadlines, and maintaining accurate records

● Assist program participants with grant applications, business plans, and translating documents as needed

● Work closely with grantees to help purchase vending carts and secure permits and approvals

● Assist with client intake and respond to inquiries regarding program eligibility and procedures

● Provide logistical support for workshops and training, including scheduling, materials preparation, and setup

● Participate in team meetings and contribute to program development and improvement efforts

● Perform other administrative duties as assigned

Qualifications

Education and Experience:

● Required: High school diploma or equivalent; associate degree or bachelor’s degree preferred

● 1–2 years of experience in an administrative or office support role preferred

● Bilingual (English/Spanish) fluency in speaking, reading, and writing
