POSITION SUMMARY
LEAP is seeking a highly organized, people-centered Data & Program Operations Manager to join its small and mighty team on a part-time basis, with a target start date of July 1, 2026. This role is the systems and operational backbone of LEAP's fellowship programming - supporting data tracking, milestone management across the full fellow lifecycle from active fellowship participants through our alumni pathways, in addition to managing fellow communications, and onsite program logistics.
Reporting directly to the CEO, this person will play a critical role in ensuring LEAP's fellows and alumni receive timely, accurate, and thoughtful support throughout their law school journeys. The ideal candidate brings strong administrative, organizational and project management skills, a genuine commitment to access and equity in the legal profession, and comfort working independently in a fast-paced, mission-driven environment.
Roles & responsibilities
Key Responsibilities
Database Management (40%)
Maintain and update LEAP's fellow database using AirTable, which tracks current fellows, law students, and alumni with accurate, up-to-date records
Collect and organize key fellow data including LSAT scores, law school lists, application status, and admissions benchmarks from program participants
Track fellow participation in and outcomes from sponsored programs and signature fellowships
Fellow Communications (40%)
Serve as a primary point of contact for fellow outreach and follow-up, ensuring responsive and supportive engagement with program participants at all stages
Draft and send fellow-facing communications including reminders, data collection requests, deadline alerts, program updates and requests for program testimonials
Track scholarship application deadlines and ensure fellows are informed and prepared well in advance
Administer and manage post-event surveys including Pre-L Boot Camp surveys and end-of-semester check-ins for 1L, 2L, and 3L law student cohorts
Track summer employment plans and job placements across all law student cohorts
Program Operations (20%)
Manage on-site logistics for in-person program events (up to 5-7 times annually for Bay Area)
Coordinate with program colleagues to ensure program logistics are ready to go for each in-person and virtual event
Monitor and log fellow attendance across Zoom sessions and in-person program events
Provide logistical support for virtual events including annual celebration events
Coordinate logistics for bar swearing-in events and related milestone recognition
Support scheduling and execution of virtual programming and Zoom-based events throughout the year
Support the administration of LEAP's public interest summer grants program and bar stipend application process
Manage structured check-in processes for 1L, 2L, and 3L law students at key points throughout the academic year
Qualifications
QUALIFICATIONS
4+ years of experience in program coordination, administrative support, or operations
Demonstrated commitment to social impact and LEAP's mission and values around equity and access in the legal profession
Bachelors Degree
Exceptional organizational skills and attention to detail
Proficiency with data tracking tools, spreadsheets and CRM platforms (Airtable, Excel, Google Workspace)
Proactive, effective communication skills, both written and interpersonal
Project management skills including the ability to meet deadlines and effectively handle a variety of tasks and competing priorities with minimal supervision
Nice to Haves
Experience working in education, legal services, or nonprofit settings
Familiarity with the law school admissions process or legal pipeline programs
Experience working directly with students or program participants
Experience with onsite and virtual event coordination (Zoom, etc.)
This is a part-time, non-exempt position, and we are seeking candidates who are within commuting
distance of Los Angeles or the Bay Area (with a slight preference for Bay Area based folks) to be able to regularly participate in in-person programming 5-7 times annually. Outside of programming, LEAP has a remote workplace. Occasional additional travel outside of the home-based area may be required for program support.
Salary
$36.00-42.00 per hour (15-20hours/wk)
